The following frequently asked questions regarding Attendance functionality can be a useful reference when you have your own questions about its features.
TIME OFF REQUESTS - Can approved time off be removed?
If a time off request has been submitted and approved, the time off will have been dropped into the employee's time sheet and will need to be manually corrected. (For more information on updating timesheets, see Updating a Timesheet.) Once that time off has been removed from the timesheet, the employee's time off balances will be adjusted accordingly. Note that time off cannot be removed from a timesheet until the pay period it is in has been reached. If it is necessary to remove the time off prior to the pay period (for example in the event that it is preventing the employee from requesting the correct day off), contact the Help Desk for assistance.
TIME OFF REQUESTS - How do I make a correction if I accidentally requested the wrong day off?
If the time off request has not yet been approved, you can "undo" the request using the Organizer module, Attendance, Time Off Requests feature. For more information on how to do so, see Removing a Pending Time Off Request.

The definition of "supervisory tree" varies from feature to feature. As a result, the list of supervisees for each may be different. For example, in some features supervisory tree means the user and his or her direct supervisees. In other features the supervisory tree also includes another layer below that to encompass the supervisee's own supervisees.
TIME OFF REQUESTS - Who can approve time off?
Time off can be approved by the employee's time off supervisor (as set in the employee's staff information record), anyone with the Human Resources Data Entry permission, and the program director or deputy director if the employee is in his/her supervisory tree (which consists of four levels).
TIME OFF REQUESTS - Who can I approve time off for if I am a program director?
If you are a program director you can approve time off for your time off supervisees (as set in staff information records), as well as the time off supervisees of the program's deputy directors. If you are a deputy director, you can approve time off for your time off supervisees, for the time off supervisees of the other deputies for your program (if any), and for the program director.
TIME OFF REQUESTS - Whose name is recorded as the approver if a request is approved by someone other than a time off supervisor?
The time off request information will reflect the name of the staff person who approved the request, regardless of that person's relationship to the user. For example, if a user's time off supervisor is unavailable and a request is approved by a member of the human resources department instead, the approver will be recorded as that HR staff member, not as the user's time off supervisor.
TIME OFF REQUESTS - Why am I not seeing a time off request I approved in my supervisee's timesheet in data entry mode?
Time off requests that have been dropped into a timesheet for dates in pay periods after the current pay period can only be seen in report mode. You'll also be able to see them in data entry mode once the pay period in which the time off is occurring has been reached.
TIME OFF REQUESTS - Why did I receive a "no scheduled days requested off" error when attempting to remove a pending time off request?
This error indicates that the time off request in question was scheduled for a day on which the worker was not scheduled to work. To remove this type of time off request, please contact the Help Desk.
TIME OFF REQUESTS - Why do I get an error when I try to request a day off?
You may be prevented from submitting a time off request for several reasons:
→ You are not eligible for paid time off as determined by the payroll group selected in your staff information record in the Human Resources module
→ You are not scheduled to work on the day you requested off as determined by your work schedule
→ You have already entered timesheet data for the day you are requesting off
→ Your accruals balance is not high enough to enable you to take off the type/amount of time you are requesting
TIMESHEETS - Can I enter time off directly into my timesheet or do I have to request it?
If your agency has configured AWARDS to track time off accruals for employees, only human resources staff and executive level users have the option to enter time off directly into timesheets. All other users must use the time off request system accessed using the Organizer module, Attendance, Time Off Requests feature. For more information, see Submitting a Time Off Request.
If your agency has NOT configured AWARDS to track time off accruals for employees, you can enter time off directly into your timesheet using the available "Activity" selection options. For more information, see Updating a Timesheet.
TIMESHEETS - How do I add a worksite missing from the "activity" selection list on the timesheet data entry page?

TIMESHEETS - How do I remove a timesheet entry?
In data entry mode, set the activity for the entry to "REMOVE ENTRY" and then update to save your changes. (Do not clear out the date or time fields for the entry prior to updating - leave everything as is except for the activity selection.)
TIMESHEETS - How do I view my timesheet for a future pay period?
Unless you are a member of the "Human Resources" user group, or have the "Human Resources Data Entry" permission, you will only be able to view timesheets for the current and previous pay periods.
TIMESHEETS - What do I need to enter in my timesheet if I'm going to be working on an upcoming holiday?
If you will be working on a scheduled holiday, you need to make an entry in your timesheet for that day as usual. That data entry must be completed by the end of the day on the holiday in question, otherwise the holiday may automatically be dropped into your timesheet, requiring the data to be manually corrected. Once the timesheet data has been entered, you will be able to request an "Exchange Holiday" for a date other than the holiday using the Organizer module, Attendance, Time Off Requests feature.

TIMESHEETS - What is a "Timesheet Discrepancy" system generated message, and why did I receive one?
Timesheet discrepancy notices are sent via the AWARDS Messages module when there is time on your work schedule for a given day of the week, but no time has been entered in the timesheet for that day.
Within each timesheet discrepancy notice you have the option to enter the missing time directly rather than going into your timesheet to do so; however, you will only be able to enter time for the date referred to in the message if that date is yesterday or today. After that your ability to do data entry for that date directly from the notice expires. For example, if you do not enter time for the 14th and you receive a notice about it on the 15th, you will be able to enter your time directly in that notice for the purposes of updating your timesheet. If you don't do so and you receive another message on the 16th, you will have to go into my timesheet to do the data entry.
TIMESHEETS - Why are some of the days on my timesheet in red and why is there data in those red rows that I can't remove?
If you have a work schedule set up, information from that schedule will automatically drop into your timesheet so that it does not have to be manually entered. Any default entries that drop into the time sheet in that manner are displayed in red. That time off data cannot be removed using the "REMOVE ENTRY" activity as other timesheet data can, because it is expected that you will either be working on your scheduled day, or that you will otherwise indicate in some why that you will not be working on that day by submitting a time off request, or by selecting a different activity type in your timesheet (if you are HR or Executive level staff).
TIMESHEETS - Why didn't a scheduled holiday drop into my timesheet automatically?
Holidays will drop into the timesheets of eligible employees at the end of the day on the holiday. If, on the day after the holiday, it is still not showing up in your timesheet, it could be for any of the following reasons:
→ The holiday was not entered as such by HR staff using the Human Resources module Holiday Schedule feature.
→ You are not eligible for paid time off, as determined by the payroll group selected in your staff information record in the Human Resources module.
→ You are not scheduled to work on the holiday, as determined by your work schedule in the Organizer module Attendance feature.
→ You previously requested that day off using the Organizer module, Attendance, Time Off Requests feature and that request was approved.
→ You have already entered timesheet data for the holiday.
WORK SCHEDULES - Can an employee be scheduled to work at a different worksite each day?
Yes. Each shift must be entered as a separate line within the work schedule, and a different worksite can be selected for each shift.

WORK SCHEDULES - Why can't I access the work schedules of all users in my program if I'm a program director?
You can only access the work schedules of other people via the Organizer module Attendance feature if you are their work supervisor, or if you are a member of the "Human Resources" user group.
WORK SCHEDULES - Why did I receive a "24 hour or more work shift" error when entering/updating an employee's work schedule?
This error is received when a shift of more than 24 hours is entered on the work schedule. In many cases this happens when the employee's weekly schedule is entered on a single line in the work schedule as, for example, Monday 9:00AM to Friday 5:00PM instead of on five separate lines where each day worked is entered individually.
