When terminating (removing access for) a physician, physician's assistant, or nurse practitioner in AWARDS, you should contact the Foothold Help Desk after you've completed the termination process.  We'll notify Digital Rx and close out the user.  If you're terminating a user with any other profile type, you do not need to contact us after completing the termination process.  In those cases the user will not be able to access Digital Rx without access to AWARDS, and his/her login will automatically be disabled by Digital Rx.

Can an address other than the client's current address be submitted with e-prescriptions?

The ability to select an address other than the current one is useful in the event that the client's current address is not the address on record with his/her insurance carrier, and AWARDS has been configured to allow for this.  Specifically, an Electronic Order Address option is available for this purpose within the Housing module's Housing Information feature (also accessible via the Demographics information portion of client face sheets).  This checkbox displays beneath each address record on the page and can be checked off for ONE of those addresses.  Whichever address it is checked off for - even one with a move out date - is the one that will be transmitted to Digital Rx when electronic prescriptions are submitted for the client.

Can controlled substances be E-Prescribed using the Digital Rx system?

Yes.  Prescribers must register with ID.me to receive dual-authentication access to electronically prescribe controlled substances.  This process is prompted when a prescriber e-prescribes a controlled substance for the first time. Can I access Digital Rx for a discharged client?

Yes, the Archives toggle on the Medications index page can be switched to "yes" before making a client selection on that page if it is necessary to select a previously discharged client for data entry purposes.

Can I access Digital Rx within a FormBuilder form?

Yes.  For FormBuilder forms set to display a dynamic section of the Medications feature, users with access to the E-Rx link can open Digital Rx from the form, prescribe medications, and return to AWARDS with the information syncing with AWARDS as usual.

How are end dates entered for digitally prescribed medications, and who can enter them?

In Digital Rx the process of entering an end date is called inactivation.  Prescription inactivations can occur in two ways.  One option is to click the Medications History tab, then check the checkbox corresponding to the incorrect prescription, and then click Inactive Drugs.  The second option is relevant when a medication is prescribed and the patient already has the same medication listed as active.  In that case the existing script is automatically inactivated, and the new prescription becomes the active one.

Within the Digital Rx system, end dates are entered in real time.  As a result, when a prescription is inactivated or replaced by a newer version, the older prescription receives the current date as the end date; in other words, the date that the inactivation was processed.

All profile types except for "Non Clinical Staff - Front Desk Staff" can inactivate a prescription.

How does AWARDS determine which of a client's phone numbers to use when E-Prescribing?

When transmitting an e-prescription for a client, AWARDS pulls the phone number from his or her external housing records in the Housing module.  There it looks for the housing record checked off as the Electronic Order Address record, and uses the phone number within that record.  If the program is configured to collect more than one type of phone number, AWARDS will use the phone number designated as "Primary."  If there is no primary number, it will use the "Other" phone number, if available.  If the client has neither a primary nor other phone number specified, the program's phone number is pulled from under Agency Program Information, and that is used in the e-rx record.  If the client is currently enrolled in a residential program, AWARDS will use the phone number associated with his/her residential unit, as maintained within the Housing module.

How does E-Prescribing work in multi-agency/divisional databases?  Are there special considerations to be made?

When E-Rx is set up for multi-agency/divisional databases, each database must have its own setup.  As a result, if a user that operates in multiple divisions (for instance, is a CoC or Continuum user) will be working with the E-Rx functionality, he/she must have a login for each division and his/her own e-prescribing registration for each.  Continuum users cannot use E-Prescribing.

How is client (patient) information updated in Digital Rx?

Anytime the Digital Rx system is accessed for a specific client (or patient), AWARDS sends any updated face sheet information to the Digital Rx system.  This information can be seen on the Patient Profile tab in Digital Rx.  As a result, if the client moves or has a new phone number, that information should first be updated in AWARDS.  Then, the next time the Digital Rx system is accessed from the client's medications page, the updated information will be reflected in Digital Rx.

If a client is in both residential and non-residential programs, does the residential program's address have to be used when submitting an e-prescription for him/her?

Yes. When a client is in both a residential and non-residential program, you can specify which address should be used for e-prescriptions.  To do so from the AWARDS Home screen select the non-residential program and then click Census.  Next, click Housing > External Housing. On the page that is then displayed choose the the client in question (requires they be on the program's current roster), and then CONTINUE.  From the external housing records that are displayed (which are also accessible via the Demographics information portion of client face sheets), check the Electronic Order Address option for the address to be used and click UPDATE to save your change.

Is E-Prescribing captured in the audit trail?

E-Prescribing actions captured in the audit trail are user registration, patient registration, and accessing the Digital Rx software.  Once a prescription is sent to a pharmacy and the new medication is located into AWARDS, the audit trail also contains a record for medications data entry.

What access do the different profile types have within Digital Rx?

User roles and functions allowed for each profile type are as follows:

What if the medication to be prescribed does not appear in the drug search results?

In addition to using the Drug Search on the prescription pad page, prescribers can also use the Free Text Medication item on the left-hand menu.  Click this menu item to create a prescription using free-text writing instead of the Drug Search.  This functionality may be important for certain prescriptions such as chemical compounds that are mixed uniquely per patient requirements.  Medications prescribed using this method are not used in drug and allergy interaction checking.

What information must be entered for a client before medications can be E-Prescribed for him/her?

Aside from name, Social Security number, and date of birth (which are all required at the time a client's intake/admission is processed), there must also be the following entered for a client in AWARDS in order to E-Prescribe for him/her:  address (including city, state, and zip code) and a phone number.  If any of these pieces of information are not entered, anyone using E-Prescribing functionality for the client will see an error message indicating which data is missing.

  NOTE: There are several options available in AWARDS for recording phone numbers, including "Cell Phone" and "Other Phone" face sheet fields.  If those options are not turned on and you would like them to be, please contact the Help Desk for assistance.

What should be entered on the Digital Rx registration form for DEA# if the prescriber does not have one and will not be prescribing controlled substances?

The prescriber can enter a nine-digit "dummy" number.  The first two characters of this number need to be letters, followed by seven numbers; for example, AB1234567.

Why, when I have a last name entered, does it tell me that information is missing when I try to access Digital Rx for a client?

This error results if there are any special characters in the last name.  To proceed, remove those characters; for example, periods.
