We are excited to announce the next round of AWARDS Certification is right around the corner!
The Basic Course (Level 1) will be in the fall (September 26th - September 28th), the Intermediate Course (Level 2) in the winter (January 23rd - January 25th), and the Master Course (Level 3), will be in the spring (March 27th - March 29th). Each course will be three days long.
The 100 question Qualifying Exam will be available starting on June 22nd (the date of this year’s Expo). There is no cost for the qualifying exam, and no obligation to enroll in Certification if you take the exam.

Highlights from the Project Pipeline
Meaningful Use 2015 Update
We are excited to share that our first of three testing waves for Meaningful Use 2015 Certification is scheduled for mid-June. We have been hard at work updating our existing Meaningful Use functionality and developing new features as prescribed by the requirements. As noted in previous FootNotes, these efforts have included making modifications to the Gender, Race, Ethnicity, and Primary Language fields in AWARDS. Previous announcements had noted that we would release these Demographics changes ahead of time, but we have determined it is best to hold the release until we complete our Wave 1 testing. Please see upcoming FootNotes for further information regarding both the noted Demographics changes, as well as our MU 2015 Certification process.
Diagnosis New Look and Feel - Anticipated Deployment: Late Summer
As we continue to enhance the look and feel of AWARDS, work on moving the Diagnosis module to the new index style is currently underway. Along with the visual changes of adding the action bar of icons to the top of the index, an index Search, a side bar menu and breadcrumbs, we will also be modifying the data housed in the module.
As a reminder, since October 1st 2015, DSM-5 / ICD-10 diagnosis codes have been required for all health care transactions in the US. With these transitions, ICD-10 codes will be the expected code documented on diagnosis records in this newly updated module. We expect to release the new design in late summer and will be providing further communications and resources prior to the deployment date.

CybersecUrity Doesn't Work Without "U"!
Ok, it sounds a little cliched - like it belongs on that groan-worthy motivational poster hanging in your office someplace - but that doesn't make it any less true or pertinent to all of us. Cybersecurity is only as strong as its weakest link and, because we all work with protected health information on a daily basis, a weak or broken link can have serious repercussions for our organizations and the clients we serve. So, how strong are your personal cybersecurity standards?
Did you answer "yes" to any of these questions? If so, you're not alone (they are all things we've seen in our work with AWARDS users out in the field), but it means that it's time to evaluate and change your cybersecurity practices today. We encourage you to use the information we've provided here to make some quick and easy changes in your daily workflow to ensure that your personal security standards are in top shape today. And don't forget - keep yourself informed. Cybersecurity is a constantly shifting landscape, and having just that little extra bit of information on current threats and safety tips can go a long way toward making your online experiences safe ones.

As we have done in previous months, we are continuing to make available a new set of useful features and functions to users of AWARDS. As always, this round of upgrades is provided free of charge to all AWARDS users and is described below. Allergies - new Look and Feel
The Medical > Allergies feature now has a new look as we continue to develop the new navigation and usability of AWARDS. Changes include:
Other updates to the design include improved navigation tools, such as clickable breadcrumbs at the top of the page, an action bar on data entry pages, and improved index pagination.

BillingBuilder - 835 Remittance Check Number and Deposit Date
When posting Payments within a remittance worksheet, both a check number and deposit date data can now be assigned to Payment transactions.
Both the Check Number and Deposit Date data fields can be reported on within the BillingBuilder ReportBuilder for all Payment transactions when using the Display One Row Per "Transaction" option.
BillingBuilder - View All In Person Payments
In Person Payments can now be seen by all staff who have access to BillingBuilder, regardless of which staff entered the payments. This enhancement was designed to provide more flexibility in managing In Person Payments.
Family Health History
The Family Health History feature in the Medical module is receiving a number of enhancements to bring it into accordance with the new Meaningful Use specifications. This includes a new SNOMED Code field, and IMO integration for Condition and SNOMED Code fields. All current data from the hard-coded list of conditions will translate over to free-text fields and the Relationship field will remain as a drop-down with the current values. These changes will afford users additional flexibility and the ability to record a more accurate family health history.
FormBuilder Enhancements
As part of our ongoing efforts to make the FormBuilder functionality as comprehensive as possible, enhancements have been made to several aspects of form configuration and completion this month.
Changes to copy form data functionality
Several enhancements have been made to the FormBuilder module to provide new ways of copying FormBuilder data across programs. These changes have been implemented to accommodate the requirements of HMIS Coordinated Entry Systems, however we believe they will also be helpful to other programs as well.
Previously this option only worked for forms located at Intake and on the Face Sheet, and it worked regardless of whether the forms were set to copy or not. If you have existing forms that are used by Central Intake programs and you want the automatic copying to continue to work, you must go to Administration > FormBuilder > FormBuilder Configuration and set Allow option to copy over existing form data for that form to "Yes."
Forms can now be completed prior to processing an intake or admission
Previously forms located under Intake/Admission for multi-step intake programs were not available for completion prior to a client's intake or admission into the program. Now, when the "Intake/Admission - as a button on client intake forms" location is selected for a form, users will have the opportunity to complete forms after creating a referral but prior to processing an intake or admission. This feature works with programs using the multi-step referral process only.
New Process Discharge Menu form location
A new form location - "Discharge - as a link on the Process Discharge Menu" - will now be available during form configuration. When this location is selected, a "Client Name - Forms/Assessments" link is displayed on the Discharge module Process Discharge feature's Consumer Selection page. Clicking the link expands/hides an alphabetical list of forms for the program, from which any form can be opened in data entry mode by clicking its name.
Improved Intake form location / availability for Outreach programs
FormBuilder forms set to show at Intake will now work for outreach versions of the Intake form; previously they were excluded for outreach programs.
New option to require form completion prior to Admission or Discharge
When a form's location is set to "Intake/Admission - as a button on client intake forms" or "Discharge - as a link on the Process Discharge Menu," a new check box will now display in form configuration, directly below "Where will the new form be located?" The label of this new check box will vary based on the form location and will display as either Required prior to Process Admission on multi-step intake forms or Required prior to Processing Discharge. When this check box is selected, the form will be made required in the specified location, and will be designated as such with a red asterisk. The form must then be completed before the user can process the admission (not the intake) or the discharge, respectively. (The "Required prior to Process Admission" version of this feature works with the multi-step intake/admission process only.)
Hospitals - New Look and Feel
The Hospital > Hospitals feature now has a new look as we continue to develop the new navigation and usability of AWARDS.
Please note that the new look and feel of the Hospitals feature introduces multiple Address fields. It is recommended that you review your Hospital records as some data cleanup may be necessary in order to receive accurate reports.

Providers - New feature available!
A newly designed Providers module has recently been made available for agencies to track provider assignments within the Medical module. This new Providers feature will replace the existing Support Services Contacts module, as it allows more transparency and historical tracking than the Support Services Contacts module. Further benefits include:
When an agency opts in to the new Providers feature, a transitional period will be held so that provider contacts of the current census can be re-entered in the new feature. During this transition period, both the Support Services Contacts feature and the Providers feature will be available on the Medical Menu, but the Support Services Contacts assignments will be used throughout AWARDS (when billing, working with medical appointments, and so on).
Please note, automatic mapping of data from Support Services Contacts to Providers is not available; however, the following Foothold saved report formats have been made available to help with the manual transition of data within the Support Services Contacts ReportBuilder:

During the transition, the Providers feature will be on solely for the purpose of data entry and will not affect other places in AWARDS (including billing). Once the transition is complete (as determined by the agency), the Support Services Contacts feature will be removed from the menu, and the Providers feature will be used throughout AWARDS. Any historical assignments that were held in the Support Services Contacts feature will be available for viewing on the Support Services Contacts ReportBuilder within the Providers feature.
The provider contacts and practices/agencies used within the Providers feature will be housed within the Referral/Provider Agencies module (renamed from Referral Agencies) and a new Providers Directory module, also housed under Administration.

Our work on Coordinated Entry continues to move forward. This month we are releasing many new features related to FormBuilder that you can read about in the "What's New" section above. FormBuilder Assessments are an integral part of Coordinated Entry Systems, so we've made it a lot easier to have assessment data follow the client from screening to placement. Usually in a Coordinated Entry System there is one program that screens the clients to find the most appropriate program for that client. The screening is usually done through a combination of questions at intake and FormBuilder Assessments such as the VI-SPDAT or Self-Sufficiency Matrix (which are both located in our Shared Forms Library). Whether you are using a Central Intake project or Waiting Lists, you now have control over which FormBuilder assessments will follow the client as they are placed, and you have a lot more choices about where the forms can be located. We also know that sometimes the screening happens before a client is admitted into a program, so now you can complete FormBuilder forms on unprocessed referrals too.
In a few months we will be releasing a new Consent Forms project, which will allow System Administrators to customize the sharing options that are available in each database. These new consent forms will replace the consent forms that exist today and will include the option for electronic signatures. HMIS System Administrators will be receiving a survey asking them which options they would like to enable in their database, and what language they would like to use on their consent forms. If your HMIS database does not yet use Client Consent forms, this may be a great time to implement them. Client Consent forms allow clients to decide what information they wish to share with other programs.
And in just two weeks we will be sharing news about the upcoming Data Standards changes and future Coordinated Entry projects at our Expo event on June 22nd. This year will feature multiple HMIS sessions including a session on HMIS Data Quality, a session on Waiting Lists, and a session on the Data Standards and Coordinated Entry. Tip of the Month - Default Values in FormBuilder Forms
Did you know... that you can configure FormBuilder fields to default to a specific value for all instances of that form? It can be a great time-saver for staff, and the process for specifying a default value during FormBuilder configuration is an easy one!
The selected value - or the "Other" text you've entered - will now automatically populate all instances of that form. During the form data entry process that text can be left as is by staff, or modified as needed.
