What's New in AWARDS

As we have done in previous months, we are continuing to make available a new set of useful features and functions to users of AWARDS. As always, this round of upgrades is provided free of charge to all AWARDS users and is described below. If you have any questions, please feel free to reach out to the Help Desk. We hope these enhancements improve the way you use AWARDS and provide services!

BillingBuilder - CR Billing Provider 837 Data Reporting Flexibility

AWARDS now offers flexibility when reporting billing provider NPI and address data in the 837 claim file. When configuring CR billing, the hard coded CR procedures are now visible by clicking Edit Procedures when using the Configure Billing Types feature of the BillingBuilder. If a billing provider NPI and/or billing provider address is different for one or more of the CR procedures, it can be entered in the Billing Provider NPI and/or Billing Provider Address fields for the procedure on the Billing Procedures Setup page. If data is entered in these fields for a CR procedure, that data will be reported in place of the data found in the Send Address and Billing Provider NPI fields on the Program Billing Groups page.

E-Signatures Configurations - Now Available for the Res/Day Hab Monthly Checklist

E-Signature Configurations is now available for the Monthly Checklist (located under the Services - Individual > Res/Day Hab Daily Checklist). The Res/Day Hab Daily Checklist feature is available for programs serving individuals with Intellectual/Developmental Disabilities to track daily, weekly and monthly progress towards service plan goals and outcomes.

  NOTE: The Res/Day Hab Monthly Checklist feature may be labeled differently in your AWARDS database.  Regardless of the feature name, the functionality - including for the new monthly checklist E-Signatures Configurations tool - is the same as that described here.

The new E-Signatures Configurations feature for the Monthly Checklist works as follows:

  Administration > Builders & Tools > E-Signatures Configurations - Users with access to the E-Signatures Configurations feature (granted by Foothold Technology) can select a new Monthly Checklist option.  This feature allows users to configure a signature set per program type(s) as needed, which is then applied to the Monthly Checklist. All of the features available in Progress Notes E-Signatures Configurations feature are available here as well.

  Charts > Services - Individual > Res/Day Hab Daily Checklist (or configured label) > Monthly view in Data Entry Mode - The bottom of this data entry screen displays the signature lines configured under Builders & Tools > E-Signatures Configurations > Monthly Checklist. E-signatures here work as they do with the Progress Notes E-Signatures Configurations feature, including all reporting and messaging options. If no e-signatures are configured, this feature will continue to work as it does today.

  NOTE: The Res/Day Hab Daily Checklist (or configured label) Monthly view in Report mode is unaffected by the new E-Signatures Configurations feature. Users will still be able to print out and manually sign this record as it looks today.

  Charts > Outcomes > Daily Checklist Monthly Summary - This summary option has been removed from the Outcomes module with the deployment of the E-Signatures Configurations feature. All information available in this view is available in the Monthly view in data entry mode, located in the Services - Individual module's Res/Day Hab Daily Checklist feature.

  Reports >Electronic Signatures Configurations ReportBuilder - "Monthly Checklist" is now an available record type in the Electronic Signatures Configurations ReportBuilder, located in the Reports module. This report can be used to help you keep track of what configuration work has been completed.

  NOTE: The above changes only apply to the Monthly view of the Res/Day Hab Daily Checklist. E-Signatures are not available for use with the Daily and Weekly checklist views.

FormBuilder - New Option for Forms Located on the Charting Timetable

Forms for which the location has been set as "Listed as a Charting Event, available under Services - Individual" will now have a new option in FormBuilder configuration called Automatically set the Charting Done Date to the date the form is locked by first e-signature? If "Yes" is selected for this option, and if an electronic signature line has been configured on the form, then the date the form is initially e-signed will auto-populate the Done Date field on the Charting Timetable. This is an excellent option to use when using the auto-schedule feature. 

  TIP: When using the Client Search feature to locate a client record, click the Assessments button on the client information page to access the Assessment Data feature in the AWARDS Outcomes module. This feature can be used to enter and update assessment data for charting timetable events when they come due. The Assessments button is an optional feature that is not automatically available in all databases. If you would like it turned on, please contact the Help Desk.

Incidents ImportTool

A new Incidents ImportTool has been added to the other ImportTools, located in the System Setup module. The Incident ImportTool provides users with the ability to take incidents data collected outside of AWARDS, place it into an accepted file format, validate it, and import it into AWARDS. Users can import new incidents or update existing incidents in AWARDS and they also have the option to include FormBuilder data. The template for the new import is provided when you access the tool under Administration > System Setup > ImportTools. If you'd like to use the FormBuilder data inclusion option, please reach out to your Foothold Senior Project Manager or Implementation Consultant.

Medications - New Options and Display Updates

To further enhance the usability of the Medications feature, the following updates are now in place:

  New Option - Medication Flag - A new Medication Flag option is now available on medication records to collect certain information about the medication in a standardized way. This option contains selections for "E-prescribed," "Controlled Substance," "Incorporated Health Record," and "PRN." Each flag will automatically be selected and read-only for electronically prescribed medications, electronically prescribed controlled substances, and medications originating from the C-CDA, respectively. When manually entering medications, only "Controlled Substance" and "PRN" are displayed as options. 

  NOTE: In light of this new option, if your agency would like to update the selection options within the Medication Details field, please contact the Help Desk.

  Face Sheet Display Updates - Within the Face Sheet's Medication Info section, the Physician Phone and Recorded By columns have been removed, and a Medication Details column has been added. 

  Now Optional - Start Time - With this deployment, agencies can now request to have the Start Time field turned off at the program type level. If you'd like to hide this data entry field on the medication form, please contact the Help Desk. 

  Medications ReportBuilder Updates - When viewing the Medications ReportBuilder using the "One Row per Medication Administration" view, a new preview icon displays for each record on the report. Clicking the preview icon opens the administration record in a new window. In addition, the following fields have been added to the Medications ReportBuilder:

  Medication Expiration Date

  Medication Flag: Controlled Substance

  Medication Flag: E-Prescribed

  Medication Flag: PRN

  RxNorm

Plans and Reviews - New Restriction on Effective Date and Done Date Fields

A new condition has been applied to both the Effective Date and Done Date fields on plans in the Plans and Reviews feature; specifically, users will not be able to enter dates more than 60 days in the future for the plan’s effective date and done date.

Tip of the Month - Break the Glass: Using AWARDS Emergency Access

Things happen that we can't always prepare for. When an individual receiving services finds him or herself in an emergency situation, a provider may need to access his or her records.

AWARDS offers an optional database enhancement called Emergency Access. This feature, located within the Client Search tool, enables users to "break the glass" and access client records in emergency situations even when the user in question does not have the program chart access that would typically be necessary. Click here to find out more about this helpful feature.

Because the Emergency Access feature is optional, it is not automatically available in all databases.  When requested, it is turned on behind-the-scenes in AWARDS. Contact the Help Desk to request that it be turned on in your AWARDS database.
