Understanding Work Supervisor Privileges

Staff assigned as work supervisors using the Human Resources module Staff Information feature are automatically granted a range of privileges in a variety of areas in AWARDS, each of which is detailed below. 

  NOTE: Each item detailed here applies only to work supervisors, not to any other supervisor types unless otherwise specified.

IMPORTANT!  Some of these privileges are controlled by permissions that are automatically assigned to work supervisors on the work role permissions level under System Setup > Permissions Maintenance.  Those permissions can be revoked on the individual permissions layer for specific supervisors as needed.

Charting Timetable (Services - Individual)

  Ability to enter, update, and delete chart events for supervisees AND anyone those supervisees supervise

IMPORTANT!  Depending on how your database is configured, additional permissions may be required for some charting timetable data entry such as the entry of due and done dates, or the deletion of records.  For more information, see the Charting Timetable Frequently Asked Questions.

  Ability to assign chart events to other users

  Ability to see staff besides yourself in the "Worker" selection list

Discharge

  Listed as the service coordinator's assigned supervisor on discharge forms at the time of discharge - The discharge form contains read-only information on the service coordinator assigned to the client at the time of the discharge (as determined by Services - Individual > Service Coordinators).  It also contains read-only information on the work supervisor for the service coordinator. 

  TIP: Service coordinator assignments cannot be changed after a client is discharged.  As a result, if the service coordinator information is incorrect on the discharge form, you will need to contact the Help Desk for assistance.  Please provide them with the program name, client name, discharge date, correct service coordinator, and the date on which the coordinator was assigned to that client so that the corrections can be made for you behind the scenes.

E-Signatures

  Ability to electronically sign all documents in their program, based on e-signature business rule configuration for that program

  Ability to sign progress notes written by supervisees based on e-signature configuration for progress notes of each type 

  TIP: For more information on the rules that govern e-signing for progress notes, see E-Signatures Configurations.

  Ability to electronically sign monthly checklists written by their supervisees based on e-signature configuration rules for those checklists 

  TIP: For more information on the rules that govern e-signing for monthly checklists, see E-Signatures Configurations. 

  Ability to electronically sign service plans or plans/reviews for reviewers they supervise based on e-signature configuration rules

Human Resources

  Ability to view read-only salary history information for supervisees AND anyone those supervisees supervise

IMPORTANT!  This is an optional feature not turned on by default.  When turned on the the supervisor must also have the "Human Resources Data Work Supervisees" permission assigned to him/her.  For more information, see Understanding Human Resources Permissions.

Messages

  Receipt of login failure internal audit messages - By default, when a user is locked out of his/her AWARDS account after having reached the number of failed logins set under System Setup > Business Rules > Password Policy Rules, a notification is also sent to the locked out user's work supervisor, regardless of how the corresponding internal audit message permission is set for that supervisor.

Passwords (System Setup > Login Maintenance)

  Ability to reset the passwords of their supervisees AND anyone those supervisees supervise

Permissions Maintenance (System Setup)

  Placement in the "All Supervisors" work role for permission assignment purposes - May also be placed in the "Direct Care Supervisors" work role if he/she supervises one or more primary service coordinators.

Progress Notes (Services - Individual)

  Ability to sign progress notes written by supervisees based on e-signature configuration for progress notes of each type 

  TIP: For more information on the rules that govern e-signing for progress notes, see E-Signatures Configurations.

  Ability to view incident/review progress notes written by their supervisees AND anyone those supervisees supervise 

  NOTE: Incident/review is a type of progress note not automatically available in all AWARDS databases, and can be turned on by request.

Reports

  Access to the My Supervisees - Caseload Activity Report 

  TIP: For more information, see Viewing a Caseload Activity Report.

Res / Day Hab Daily Checklist (Services - Individual)

  Ability to electronically sign monthly checklists written by their supervisees based on e-signature configuration rules for those checklists

Service Plans (Services - Individual)

  Ability to electronically sign service plans or plans/reviews for reviewers they supervise based on e-signature configuration rules
