Registering a User with Digital Rx

If you are a medical professional, you must complete a registration page in AWARDS before you can access Digital Rx for the first time.  To do so, complete the following steps from the AWARDS Home screen to access a client's medications or allergies index:

  NOTE: No prescription or allergy record needs to be submitted to complete the process, but it is from this location in AWARDS that the registration page is accessed. Once registered, you will be able to proceed with submitting a prescription for that client if you so choose, but it is not required.

    1. Click Charts from the left-hand menu, and then click Medical.  The Medical fly-out menu is displayed.
    2. Click Medications.  The Medications index page is displayed.

    1. Click the Program drop-down arrow in the upper-right corner of the page and select the program associated with the client through whose records you will be completing the registration process. 
    2. Click the Client drop-down arrow and select the client through whose records you will be completing the registration process.

  TIP:  If the medication records to be worked with are for a former (discharged) client, first click the Archives toggle to the right of the client selection option.

The index page is automatically refreshed to display any existing medication records for the selected client.

  TIP:  When working on the index page, medication records are easily accessible using the following tools and navigation features:

"Show Records" display options - By default the index displays all current medication records (those with a start date prior to today AND no end date, or with an end date that is in the future). To expand the display to include all existing medication records for the client instead, click All under "Show Records" in the left-hand menu.  An Available for Deletion option is also available there for users with the "Medication Data Deletion" permission.

Sorting options - By default the index is sorted alphabetically by medication name, from A-Z.  To adjust the sorting click a column header in the table to sort by that data  variable instead.  Clicking a column heading a second time reverses the sort order.

Navigation options - 10 records are displayed on the page by default.  To access records on subsequent pages of the index (when applicable), click the arrows in the bottom-right corner of the table.  To display 25 or 50 records at a time, click the Show drop-down to the left of the record count, also in the bottom-right corner, and make a selection.

Once you select records on the index, a count of how many total records are selected is displayed in the action bar. Selections are maintained while moving from one page of the index to the next; meaning, you can select records on the first page (showing records 1-10 by default) and move to the next page (displaying records 11-20) without losing the selections made on the first page. Links for Show all selected records and Uncheck All are available beneath the index table for easy navigation.

Search and filtering options - A Search field is available on the action bar along with a corresponding Filter by drop-down list.  To search the contents of the index (including those records not currently displayed on the page), enter a value in the Search field.  The index is automatically updated as you type.  To further narrow your search, use the Filter by selection to indicate whether the search should look at data in "All Columns" (the default) or a specific column.

Related features access - Links to one or more of the following related pieces of functionality may be available in the left-hand menu, based on your agency's configuration:

- Medications ReportBuilder - A shortcut to the ReportBuilder for this feature.  For instructions, click here.
- E-Rx - For agencies using E-Prescribing.  Opens DigitalRx for users with the necessary permission.
- Medication Lookup - Opens RxList from which users can access medication lookup information.  (The label and website may vary, based on agency settings.)
- MAR - Opens multi-medication administration data entry for agencies set to use the MAR.  For instructions, click here.

    1. Click E-Rx from the left-hand menu.

  NOTE: Some values must be entered on a client's face sheet in order to access the Digital Rx system to prescribe medications for that client (specifically:  First Name, Last Name, Address, City, State, Zip, Date of Birth, Gender, and Phone).  If any of the required information is not present, you will receive a pop-up notification at this time and must navigate to Census > Profile > Face Sheet for the client to complete the necessary data entry before you will be able to proceed.  Regarding this data entry, keep in mind that:

Street Address is limited to 35 characters, including spaces.

Missing phone numbers in residential programs must be entered under either the Housing module using external housing records, or by assigning a phone number to the residence unit, also within the Housing module.

The first time you, as an authorized user, access the E-Prescribing tool, the Register DigitalRx User page is displayed.  If you are taken to this screen, continue with step 6 to proceed with the registration process. 

If you are NOT taken to the registration screen and a new browser window is instead opened with the Digital Rx application in it, it is an indication that you have already completed the registration process and that prescriptions can now be submitted for the selected client.  The remaining steps in the process of registering a user are not necessary, and you can instead continue with the prescription submission.  Click here for instructions on sending a prescription to a pharmacy.

IMPORTANT! If your browser is set to use a pop-up blocker it may prevent the Digital Rx window from being opened correctly.  If you are not taken to the registration page AND you do not see a separate browser window with Digital Rx in it, please check your browser settings and try again.

    1. The Register Digital Rx User page contains a variety of demographic fields and options that you must complete as part of the registration process.  Some of these fields/options will be pre-populated by AWARDS (as shown in the following example), but any other required fields/options on the page that do not already have data in them must be configured at this time.

  NOTE: When completing the data entry on this page, please keep in mind that:

When specifying a Clinic Name you must use 35 characters or less.  While there is presently no restriction on the AWARDS side, if a longer clinic name is entered here you will receive an error upon accessing Digital Rx.

Profile Type governs what you have access to within the Digital Rx system, and what you can do there.  (For detailed information on what each profile type does, please jump to our E-Prescribing Frequently Asked Questions and refer to the question What access do the different profile types have within Digital Rx?) Additionally, the Profile Type you select here will impact which fields/options are required on this registration page.

Supervisor is only required when the Profile Type has been set to "Nurse Practitioner," "Physician Assistant," "Provider Nurse Practitioner," and "Provider Physician Assistant."  The selections available in the Supervisor selection list include staff members at the agency who are registered with Digital Rx with a profile type of "Physician," "Nurse Practitioner," and "Physician Assistant."  If no user has been registered for any of those profile types, you will not be able to set your Profile Type to "Nurse Practitioner," "Physician Assistant," "Provider Nurse Practitioner," and "Provider Physician Assistant" on this registration page.

Editing information in fields/options on this page that were pre-populated by AWARDS does NOT overwrite the existing AWARDS data.  For example, if you change your first name on this page from "Michael" to "Mike," your name in your AWARDS Staff Information record will remain "Michael."  For this reason, Foothold recommends not making changes to information on this page without also making them elsewhere in AWARDS.

    1. Once all required information has been entered, click CONTINUE.  A new browser window is opened with the Digital Rx application in it.

IMPORTANT! If your browser is set to use a pop-up blocker it may prevent the Digital Rx window from being opened correctly.

  NOTE: When Digital Rx is displayed in the second browser window, AWARDS will continue to be active in the initial browser window.  It should be left open.

If this is your first time accessing Digital Rx, the H2H Digital Rx - END USER AGREEMENT page is displayed. 

Continue with step 8.

If you are NOT taken to the end user agreement page, it is an indication that you have previously accessed Digital Rx and the New Prescription page is displayed instead.  The remaining steps in the process of registering a user are not necessary, and you can instead continue with the prescription submission.     1. Click Agree.  The New Prescription page is displayed.

The process of registering a user is now complete.
