PlanBuilder - A New and Improved Service Plan Module

AWARDS has been undergoing some pretty big changes recently, and we've now set our sights on Service Plans. We have been hard at work planning for and designing an improved, flexible, configurable, easier to use service plan in AWARDS.  A few weeks ago we distributed an announcement to let you know that the PlanBuilder is on its way.  If you didn't see it, take a look here.

What's New in AWARDS

As we have done in previous months, we are continuing to make available a new set of useful features and functions to users of AWARDS.  As always, this round of upgrades is provided free of charge to all AWARDS users and is described below.  If you have any questions, please feel free to ask your local Help Desk or your Foothold Client Services representative.  We hope these enhancements improve the way you use AWARDS and provide services!

Deployment:  May 4, 2016

Audit Trail ReportBuilder - NEW!

Within the System Setup module's Login Maintenance feature, the existing Audit Trail report is being replaced with an all new Audit Trail ReportBuilder. This ReportBuilder - which comes complete with the standard set of useful tools found in other AWARDS ReportBuilders - enables you to build customized reports of audit information for a selected date range and, if you choose, a selected worker and/or client as well.  The contents of reports generated using this new ReportBuilder take the content you are used to seeing in the Audit Trail report to the next level, providing not only useful audit data (for example, what was changed or viewed in AWARDS, by whom, when, and for which client), but a wide variety of employee information as well.

To help ease the transition to this new ReportBuilder, we've made available a saved ReportBuilder report format - Foothold Audit Trail Report.  This report format, found in the Audit Trail ReportBuilder's saved formats list, mimics the content of the built-in Audit Trail report that is being removed, giving you easy access to the audit data you're used to seeing.

Billing Procedure Screen - Label Updates

In an effort to make the Billing Procedures Setup screen more transparent, many of the billing procedure setup field/option labels have been updated to reflect terms that are more recognizable. Refer to the updated Configuring Procedures page to see the new labels.

E-Signatures - Default Date and Time Stamp

We've listened!  It has been an ongoing concern for many agencies that users currently have the option to electronically sign records without a date and time stamp if they choose.  To help turn control of date/time stamping over to agency/continuum administrators instead of users, and to aid those administrators in enforcing internal requirements around use of e-signatures, we've made the following changes:

Send in AWARDS Message Option - Process Change

Previously, when you ran a report using the "Send in AWARDS Message" option, it would stay in messages forever. Now, all report messages generated in this way will be removed from your Messages module after one month.  (The exact date of deletion will be displayed in red at the top of the message's content for your reference.)  If you know you will need to access the report after that time, be sure to download either the attached Excel file version of the report content (Excel File.zip) or the all new HTML version of the report content (Report Content.html), also attached to the message.  If you do not download one of these attachments before the report message is deleted, you will need to manually regenerate the report if you need access to it in the future.

REMINDER:  User Group and Current Web Sessions Reports Replaced by the User Login ReportBuilder

Last month we introduced you to the new User Login ReportBuilder, located under System Setup > Login Maintenance.  This ReportBuilder - which comes complete with the standard set of useful tools found in other AWARDS ReportBuilders - enables users to build customized reports of login-related data elements previously only accessible in two separate Login Maintenance reports:  the User Group Report, and the Current Web Sessions Report. As planned, now that the User Login ReportBuilder has been in place for a month, we'll be removing access to the User Group and Current Web Sessions reports as of May 4th.  To help ease the transition, we've made available two saved report formats in the User Login ReportBuilder that mimic the contents of the reports that are being removed:

Tip of the Month - Using Advanced Options for Flexible Report Filtering

Did you know that you can use multiple combinations of "And" and "Or" filters on ReportBuilders to allow for more flexible filtering?

On the Options - Continued page for all ReportBuilders, there is a Show Advanced Filter Options link in the top-right corner of the "Filter Options" portion page.

When this link is clicked, the page refreshes to display a "set" of filter options with a border around it.

These advanced filters perform just like basic filters; however, they provide you with the opportunity to combine filter pairs and sets using "And" or "Or." For example, in the Demographics ReportBuilder you could set up the following filter pairs:

By clicking the Or radio button located between the two filter pairs you've created a filter set that tells the report to include records for females who are 65 and older, as well as males who are less than 25.

If needed, you can add more variables by clicking Add Additional Filter in the lower-left corner of the filter options, making your search even more specific. For example, here we've combined the filter set shown above with another filter for entitlements:

Because we've clicked And between the two filter sets, the report will contain records for females who are 65 and older and receive Medicaid or Medicare (or any other entitlement containing "medic"), and males who are less than 25 and receive Medicaid or Medicare (or any other entitlement containing "medic").

These advanced filters can assist you in collecting more robust and detailed data in your reports. For more information about using advanced filters, be sure to look here in Online Help.
