Viewing a Group Notes Report

The built-in basic group notes report, available from within the AWARDS Reports module, enables users to view a read-only report of group notes selected based on a variety of criteria.  To view a group notes report, complete the following steps:

    1. From the navigation bar, click Reports (or click the Reports icon).  The Reports index is displayed.

    1. Click the Program drop-down arrow in the upper-right corner of the page and select the individual program for which the report is to be run, or select a group of programs using one of the available "All" or "Custom" grouping selections.
    2. If you previously bookmarked the Group Notes Report it is displayed on the reports index by default; otherwise, from the left-hand menu bar, click All under "Show Reports."
    3. Use the navigation features in the bottom-right corner to locate the Group Notes Report in the index, or enter "group notes" in the Search field in the upper-right corner.
    4. Click Group Notes Report from the reports index. The Group Notes Report Selections page is displayed.

    1. To limit report selection by group note writer, click the Writer drop-down arrow and select the worker who recorded the group contact.  The default value is "All Writers."
    2. Click the Client drop-down arrow and select the client for whom the group notes report is to be viewed.  The default value is "All Clients."

  TIP: If the report to be viewed is for a former (discharged) client, first click the Roster Archives checkbox beneath the client selection option.

  TIP: If a writer was selected in step 6, "Writer Caseload" can be selected from the client list to view the group notes report for all clients assigned to that writer. 

    1. Only those group notes written for contacts occurring within the date range in the From and To fields on this page will be included in the report.  If necessary, make changes to the default date range (using mm/dd/yyyy format).  When doing so please keep in mind that a two year period of your choosing is the maximum length of time for which the report can be run.
    2. If necessary, click the Omit Group Attendance List from Report checkbox if group attendees' information is not to be included in the report.
    3. If a page break should be inserted between every note in the report when it is printed, click the Insert Print Page Break After Every Note checkbox. 
    4. To repeat the group note separately for all attendees listed in the report, click the Repeat Group Note Text for Each Attendee checkbox.
    5. Click SHOW NOTES.  The group notes report is displayed on the Group Notes page. 

The contents of this read-only report include group date and time, group name, activity, service, attendees, note text, and if applicable, individual addendums.
