Education / Training Enrollments data entry takes place in the following sections:

Education / Training Information

Financial Aid (if set to display)

Below is an alphabetical list of the fields and options located on each of these sections.  To jump directly to the information for a specific field or option, press <Ctrl+F> to access your browser's search field and enter the name of the field/option in question.

  NOTE: A gear icon next to a field or option in this list indicates that it is either optional (and therefore not automatically available in all AWARDS databases), or that some aspect of it (for example drop-down selection lists) is configurable.  To request adjustments to these configurable items, please contact the Help Desk.

Education / Training Information

Access-VR Sponsored Program

Click this drop-down arrow and select "Yes" or "No" to indicate whether this is an ACCESS-VR (formerly VESID) sponsored program.

Center

If the enrollment is part of an ACCESS-VR (formerly VESID) sponsored program, in this field type or make changes to the center's name.

Counselor

If the enrollment is part of an ACCESS-VR (formerly VESID) sponsored program, in this field type or make changes to the counselor's name.

Credential Received

Click this drop-down arrow and select the credential received by the client during this enrollment.  The selections are configurable upon request, with default values of "None," "Diploma," "Certificate," "License," and "Other" with a corresponding Specify Other text box.

Credits / Hours Attempted

In this field, type or make changes to the number of credits or hours attempted during this enrollment.

Credits / Hours Completed

In this field, type or make changes to the number of credits or hours completed during this enrollment.

Degree Type

Click this drop-down arrow and select the type of degree being sought.  These selection options are configurable upon request, with default values of "Associate's," "Bachelor's," "Master's," "Doctorate," "Certificate," and "Other" with a corresponding Specify Other text box.

End Date

In this field, type or make changes to the date on which the enrollment ended if applicable (using mm/dd/yyyy format), or use the available date picker drop-down arrow to select the correct date.

Facility

Click this drop-down arrow and select the facility in which the client is being enrolled.  The facilities listed here are those configured using the Education / Training Facilities feature.

  TIP: If the necessary facility is not listed here, scroll to the bottom of the list and select "Add New Education/Training Facility."  The Add new Education/Training Facility dialog box is displayed.  Configure the fields and options in this box with the facility's information, and then click Save to return to the enrollment record.  Facilities added using this method are automatically added to the Education / Training Facilities feature and are included on the facilities index found there.  Alternately, the new facility record can be created directly within the Education / Training Facilities feature.

Facility Program

Click this drop-down arrow and select the type of program in which the client is being enrolled.  The facilities listed here are those configured using the Education / Training Facilities feature for the selected Facility.  If no programs are recorded for the selected facility, this option is not displayed.

Grade Level

Click this drop-down arrow and select the client's grade level.  Available options are "1" to "20" in increments of 1.

GPA

Click this drop-down arrow and select the client's GPA for this enrollment.  Available options are "0.0" to "4.0" in 0.1 increments.

Major / Training Focus

In this field, type or make changes to the client's major or training focus for this enrollment.

Reason for Discontinuing

In this field, type or make changes to the client's reason for discontinuing the enrollment (if applicable).

Record Type

Click this drop-down arrow and select "Education" or "Training" to specify what this record is documenting.

Start Date

In this field, type or make changes to the date on which the enrollment started (using mm/dd/yyyy format), or use the available date picker drop-down arrow to select the correct date.

Subjects of Interest

In this field, type or make changes to a list of the client's subjects of interest.

Financial Aid

  TIP: If you do not currently see this enrollment record data entry section and would like to be request that it be turned on, please contact the Help Desk for assistance.

Aid Type

Click this drop-down arrow and select the type of aid being received.  The selections listed here are configurable upon request, with default values of "Pell," "Perkins," and "Stafford."

Amount Paid

  NOTE: Available when Fund Type is set to "Loan."

In this field, type or make changes to the amount that has been paid back on the loan, if any, in US Dollars.

Amount Received

In this field, type or make changes to the amount of the loan or grant in US Dollars.

Date Received

In this field, type or make changes to the date on which the funds were (or will be) received (using mm/dd/yyyy format), or use the available date picker drop-down arrow to select the correct date.

Fund Type

Click this drop-down arrow and select either "Loan" or "Grant" to indicate that type of aid the client is receiving.

Source

Click this drop-down arrow and select the financial aid's funding source.  The selections listed here are configurable upon request, with default values of "Corporate," "Federal," "Private," and "State."

Source Detail

In this field, type or make changes to any funding source information such as the source name or other key details.
