Working with Nightly Absences Records

To update a nightly absences record, complete the following steps from the AWARDS Home screen:

    1. Click the Program drop-down arrow in the upper right-hand corner of the page and select the program associated with the consumer for whom nightly absence records are to be worked with.
    2. Click Census from the left-hand menu, and then click Housing.  The Housing fly-out menu is displayed.
    3. Click Nightly Absences.  The Nightly Absences Settings consumer selection page is displayed.

    1. Click the Consumer drop-down arrow and select the consumer for whom the nightly absences record is to be updated.

  TIP: If the nightly absences record to be worked with is for a former (discharged) consumer, click the Roster Archives check box before completing this step.

    1. Click the Month drop-down arrows and select the month and year for which the nightly absences record is to be updated.
    2. Click CONTINUE.  The Nightly Absences Calendar page is displayed.

    1. Click the drop-down arrow beneath each date for which a nightly absence is to be updated and select one of the available codes.  The default selection list includes:

  P - Present

  A/H - Absent hospitalized

  A/V - Absent vacation

  A/O - Absent other

  NOTE: When completing this step, keep in mind the following:

  If the nightly absences record for the selected month and year was saved previously, a check mark icon appears next to each date in data entry mode.  (Automatically set "A/H" values are shown as saved by default.)  Previously saved codes can be updated as needed; however, when doing so hospitalizations must have a hospitalization-related status selected for them (for example, "A/H").  



  The code selection list is configurable and may vary from those values shown above.  For more information on configuring this list, click here.

  When using the built-in set of codes, the default code is "P" - present - unless a multi-day hospitalization episode has been entered in AWARDS for the consumer, month, and year selected in steps 4 and 5.  In such cases the dates on which the consumer was in the hospital overnight automatically populate with "A/H" - absent hospitalized, instead.  A "merged with hospitalization episodes data" message is displayed at the bottom of the page in such cases to help you identify the reason for those default "A/H" values.  

  Future dates are not available for nightly absences data entry.

    1. Click UPDATE.  A read-only confirmation page is displayed.

  TIP: To make additional updates at this time, click Return to Data Entry.  To select another consumer for data entry, click Next Consumer, and repeat steps 3 through 8 as needed.

The process of working with nightly absences records is now complete.
