AWARDS Certification

Save the Dates! We are excited to announce the next round of AWARDS Certification is right around the corner! 

The Basic Course (Level 1) will be in the fall (September 26th - September 28th), the Intermediate Course (Level 2) in the winter (January 23rd - January 25th), and the Master Course (Level 3), in the spring (March 27th - March 29th). Each course will be three days long.

The 100 question Qualifying Exam is available here. There is no cost for the Qualifying Exam, and no obligation to enroll in Certification if you take the exam.

Highlights from the Project Pipeline

New York State Office of Mental Health - 2017 Patient Characteristics Survey

It is that time of year again! The OMH 2017 PCS week is scheduled for October 23 - October 29, with the practice platform opening on September 21. We are busy at work here at Foothold reviewing the 2017 materials and working to update the survey tool in AWARDS. As usual, we intend to release the updated survey tool in AWARDS in time for the opening of the practice platform. Please stay tuned to upcoming FootNotes for further updates on our PCS efforts. And you can find details about this year's survey at the OMH PCS website.

Attention:  Vocational Rehabilitation Assessment Form Under Employment > Jobs

As we continue with our AWARDS redesign and update our Home screen with menu fly-outs for ease of navigation, we will be streamlining options. The Vocational Rehabilitation Assessment form under Employment > Jobs, which is no longer supported, will be removed in the fall.  If you have programs using this form, please begin preparations to transition to a FormBuilder form, and print any historic data for your records.  

Watch for more information on this project in future communications.

Linked Names and Programs in Client Search Results

Client Search results will soon show hyperlinks for both client names and program history records (based on the user's Chart Access).  Previously databases would see either the client's name or the program history records as hyperlinks, but not both. This change will not affect what information is visible to a user, but will provide two ways to reach the information.  

Meaningful Use 2015

We continue to focus on our MU 2015 Certification process, and are pleased to announce that our Wave 1 testing was successful! Current development work for our second wave of testing is largely focused on the Interoperability related criteria, like updating the CCDA format and enhancing the ability to send and receive care-related documents via AWARDS. We are also building a new Encounters module to replace the MU Encounters form that was in place with our 2014 Edition. This new module will allow for a more streamlined workflow for physicians and staff as they document all MU related data in AWARDS. Additionally, we will be updating the Clinical Quality Measures documentation and reporting in AWARDS. The 2015 Edition will include the following CQMs:

- Initiation and Engagement of Alcohol and Other Drug Dependence Treatment (CMS137v5 0004)
- Controlling High Blood Pressure (CMS165v5 0018)
- Tobacco Use: Screening and Cessation Intervention (CMS138v5 0028)

Are You Using IE11?

In recent years Microsoft has turned its resources from its Internet Explorer (IE) browser to the newer Edge browser.  This change, including a halt to further development for IE (aside from security updates), has made it more difficult for us to continue to support use of IE11 with AWARDS.  As a result, we are no longer able to guarantee that you will experience AWARDS as it was intended to be used if IE11 is your browser.  We request that IE11 users change their browser as soon as possible to the latest version of one of our supported browsers:

- Chrome
- Firefox
- Edge
- Safari

By making this change you will have a smoother AWARDS experience.

Please keep in mind when selecting a browser that Edge is only available for Windows 10.  We suggest using Chrome or Firefox if you're using a computer with an operating system of Windows 7 SP3 or Windows 8.1 (the only older versions of Windows presently supported in addition to 10).

IMPORTANT!  If your agency subscribes to the optional E-Labs component of the AWARDS Laboratory Orders feature, you must use IE11 as your browser in order to continue using the label printing functionality that is a key component of the E-Labs platform.  In such instances we recommend having an alternate browser in place for everyday usage and only use IE11 when submitting lab orders.

What's New in AWARDS

As we have done in previous months, we are continuing to make available a new set of useful features and functions to users of AWARDS. As always, this round of upgrades is provided free of charge to all AWARDS users and is described below. If you have any questions, please feel free to ask your local Help Desk or your Foothold Client Services representative. We hope these enhancements improve the way you use AWARDS and provide services!

BillingBuilder - OH Medicaid Billing Changes Project

With the Ohio Medicaid redesign changes going into effect on 01/01/2018, AWARDS has developed new functionality to better support all data needed in the 837 Professional claim file.  New options have been added to handle the following:

- Supervising Provider NPI reporting
- Ordering Provider NPI reporting 
- Service level/Multi-line Rendering Provider NPI reporting
- Ability to omit the rendering provider at the procedure level
- Interactive Complexity identifier when documenting notes as well as a procedure requirement

To utilize the supervising provider and/or the interactive complexity functionality, please contact the Help Desk.

Diagnosis - Module Updates

As previously announced, an updated Diagnosis module has been deployed. For a full description of this update, including screen shots of the index and data entry screen see the Diagnosis Information Sheet

The new Diagnosis module provides the following benefits:

- DSM-V – with an ICD-10 code set
- "Other" (if currently set to display) - with an ICD-10 code set
- Disabilities

- Diagnosis Date*
- Condition*
- ICD-10 Code*
- [Program Name] Order Level 
- Diagnosed By (if set to display)
- Onset Date
- End Date (formerly Resolution Date)
- Comments

Face Sheet - Alcohol / Substance Abuse Sectin

The Alcohol / Substance Abuse Info section of the Face Sheet has been renamed to Alcohol / Substance Use Info. Likewise, fields within the section will now appear as Alcohol Use Disorder (formerly Alcoholism) and Substance Use Disorder (formerly Substance Abuse). The new labels also apply within the Demographics ReportBuilder. 

HMIS Data Quality Report & APR Inline Details

When running the HMIS Data Quality Report, workers will now see that the values in each table are hyperlinks. When clicked, the links will limit the Individual Details report to display only the clients that relate to that value. When the report is viewed on the screen immediately after it has been run, clicking the hyperlink will not only filter the Individual Details table, but will jump you to the table. When the report is viewed via the Send to Messages feature, the filtering will still happen, but the worker must manually scroll to the table.  Inline Details will also show up for the Data Quality questions (Q5 and Q6) on the CoC APR.  

HMIS Data Quality Report Unduplicate on PIN

When running the HMIS Data Quality Report for multiple programs, the report will now unduplicate on PIN, rather than on Client ID.  This will provide true unduplication across divisions.

HMIS Old APR & Legacy Data Quality Report

The old 2014 CoC APR has been removed from the Fiscal/Programs menu of all databases. With this change, the old Data Quality button has been moved to the new CoC APR settings page, and has been relabeled Legacy DQR Audit Message.  Although HUD replaced the old data quality questions with the new HMIS Data Quality Report, some communities still see value in the old data quality audit message, so we have relabeled it to avoid confusion.  As before, this button generates a report that is sent to messages showing you the old data quality table from the 2014 CoC APR.

Index Enhancements

As we continue to work on the new index style in AWARDS (as seen in Diagnosis Information, Providers, and Referral Agencies, to name a few) the following enhancements have been deployed. We hope you enjoy these improvements!

Nightly Absences

For improved data quality and workflow, the Nightly Absences feature within the Housing module will default to Data Entry mode, and will no longer allow future dates to be selected during the data entry process.

Program Status

The Program Status feature within the Services - Individual module will now allow status records to be saved for pending clients. This applies to programs using the multi-step admission process, with the intake feature. When saving a status record for a pending client, the Start Date must be on or after the client's Intake Date.  

Providers - Employees Now Listed as Providers

For agencies using the new Providers module to collect support services contacts, agency employees who appear in the Human Resources module can now be listed as provider contacts in the Provider Directory. When creating a new provider directory record a new Is this provider an agency employee? Yes/No drop-down is included on the form. If set to Yes, a search field is displayed, matching to employee names. Once an employee is selected, his or her NPI and Medicaid Provider ID will be pre-populated using information from the Human Resources > Credentialing feature. Employee names and credentials will not be editable in this location. However, if changes are made in the Human Resources module, they will carry forward into the Providers Directory module. 

In addition, employee fields are now included in the Providers Directory ReportBuilder. When an employee who is assigned as a client provider is terminated, the termination confirmation page will notify users which program contain provider assignments, and the termination date will be automatically inserted as the End Date of the provider contact for any client to which he or she is assigned. This End Date can be modified on client records, if needed. 

Finally, the Prescribing Physician field within Medical > Medications will now display a drop-down list of the selected client's provider contacts, along with an "Other" option and corresponding text box.

This Month in HMIS

Now that the CoC Application has been released, communities are hard at work evaluating projects.  We believe that the new HMIS Data Quality Report will become a key part of the evaluation process, so we've made a big enhancement to it. The report will now include what we call "Inline Details" that should make troubleshooting the report much easier. You can read about this feature in the "What’s New in AWARDS" section above. Over the next year we will be rolling out Inline Details to more and more HMIS reports. We also fixed a few minor issues and changed how the Data Quality report is unduplicating so that it now unduplicates clients across divisions, resulting in more accurate numbers when run for an entire Continuum of Care.  

The next HMIS related project to be deployed will provide HMIS Administrators with the ability to customize client Consent forms. When this project is deployed, users may begin to see new options and/or new language on the client consent forms. HMIS Administrators should have already received information from their Senior Program Manager about the available changes so that they can begin planning for this change. Our work on Coordinated Entry enhancements continues to move forward and in the fall we will begin working on revisions to cross-database sharing to allow more information to transfer during one-button uploads. This will make it possible for single agency databases to participate in Coordinated Entry and share assessment data with their Continuum's HMIS. Of course, we are also still hard at work on the upcoming HMIS Data Standards project which will be deployed on October 1st, however training dates have not yet been set. Announcing the HealthLinkNY Hub Connection

The Foothold Technology Interoperability Team is excited to announce that work is underway to establish a connection with the HealthLinkNY Health Information Exchange.  HealthLinkNY's service area spans 13 counties in the Hudson Valley, Catskills, and Southern Tier of New York. This connection will enable AWARDS agencies in this area to coordinate care, receive alerts on clients, and work with their local Performing Provider System to help meet DSRIP goals. The timing on this connection is key, because agencies are currently entitled to up to $13,000 from the DEIP incentive program through September 2017. For this reason, if you're interested in establishing a connection, it's important to get started as soon as possible. For information on how to get started and the full release, click here.
