The hospitalization activity audit notifications may contain active clients as well as clients who were hospitalized recently but have since been discharged from their respective agency program.  To distinguish between the two, clients who are currently on a program roster are listed in bold in the message content.

Which clients are included in the bi-weekly hospitalization activity audit notification messages sent out by AWARDS?

The hospitalization activity audit notifications contain a list of the consumers admitted to and/or discharged from a hospital within the last 30 days.  It also includes any client whose hospital admission date is in the past 730 days where the hospital discharge date has either not been entered or is in the last 30 days.  Keep in mind that based on these rules is possible that this notification message will contain clients who have since been discharged from their respective agency programs.  (If a client's name is in bold on the message, it indicates that he or she is currently on a program roster.)

  NOTE: The hospitalization activity audit will skip any records where the hospital admission date is AFTER the client's program discharge date.

Which programs display for "Current Programs" when that variable is included in Episodes ReportBuilder reports?

The "Current Programs" data variable displays programs that you have chart access permission to that are included in the program group for which you've run the report.  If the report is run for a single program, "Current Programs" will list only that program.

Why are discharged clients included in the hospitalization report when run for the current roster and with the "Use Date Range" option?

When the "Use Date Range" report period is selected on the Hospitalization Report settings page, the system disregards whether or not you chose the "Roster Archives" option on that same page.  Instead, it includes in the report the hospitalization records of all clients in the program during the date range specified.

When the "Full History" report period is selected, the system includes in the report all hospitalizations (both inside and outside of the program stay) for clients currently on the roster OR clients previously discharged, depending on whether or not "Roster Archives" was selected on the settings page. 

To limit report results to only those hospitalizations that occurred during the client's stay in the program for which the report is being run, check off the "Count LOS Days During Program Stay Only" option on the Hospitalization Report settings page.

Why doesn't a Hospitalization Records report display all records when it is run for all clients with the "full history" option selected?

When you run a "full history" Hospitalization Records report for a single client, all episodes entered into AWARDS, including those that occurred prior to the client's admission to the program, are included in the report.  When you run the same report for all clients instead of an individual client, only episodes that took place during the program enrollment are displayed.
