Working with Existing Waiting List Records

To work with previously created waiting list records for clients on a source program's waiting list, including viewing, editing, or deleting those records, complete the following steps from the AWARDS Home screen:

    1. From the AWARDS Home screen, click the Program drop-down arrow in the upper-right corner of the page and select the source program to which the client has been admitted or referred.
    2. Navigate to one of the following locations in AWARDS:

  Intake/Admission > Individual Client's Records - Click Census from the left-hand menu, and then click Intake/Admission.  Enter the client's initials in the First Name and Last Name fields, and then click CONTINUE.  Next, click the name of the individual to be added to the waiting list.  Depending on the type of program being worked with, the intake record is either opened or you are shown a list of options; in either instance, proceed with step 5.

  Intake/Admission > Waiting List - Click Census from the left-hand menu, and then click Intake/Admission.  Click the Place Clients From Waiting List drop-down arrow, select the target waiting list to be updated, and then click View Waiting List.  Next, click the edit record icon next to the name of the individual to be worked with.  The Waiting List Client Records index page is displayed; proceed with step 5.

  Profile - Click Census from the left-hand menu.  From the fly-out that is displayed, click Profile, and then click View Waiting List. Next, click the edit record icon next to the name of the individual to be worked with.  The Waiting List Client Records index page is displayed; proceed with step 5.

  Face Sheet - Click Census from the left-hand menu.  From the fly-out menu that is displayed, click Profile, and then click Face Sheet.   Select the client to be worked with (first clicking the Roster Archives option if the client is not on the current roster), and then click CONTINUE.  The face sheet is displayed; proceed with step 3.

  TIP: In some AWARDS databases the face sheet may also be configured to include an optional "Client Waiting Lists" section.  Clicking Update Waiting List in that portion of the face sheet opens a Waiting List Client Records page from which the client can also be added to a waiting list using the Add new icon in the action bar; doing so opens the New Waiting List Client Records page referenced beginning in step 3.  Skip ahead to step 4.

    1. Click Add to Waiting List.  The New Waiting List Client Records page is displayed.

  TIP: In some instances when working from the Intake/Admission module you must also click CONTINUE after Add to Waiting List in order for the New Waiting List Client Records page to be displayed.

    1. Click Consumer Waiting List Index from the left-hand menu.  The Waiting List Client Records index page is displayed. 

All existing waiting list records for lists associated with the source program selected in step 1 are listed here.  Those with end dates and destination programs indicate that a placement was made, while those without that data are open waiting list records.

  TIP: When working on the index page, records are easily accessible using the following tools and navigation features:

Sorting options - By default records in the index are sorted chronologically, with the oldest records listed first.  Click a column header in the data table to sort the index by a different type of data.  Click the heading again to reverse the sort. 

Navigation options - 10 records are displayed on the page by default.  To access records on subsequent pages of the index (when applicable), click the arrows in the bottom-right corner of the table.  To display 25 or 50 records at a time, click the Show drop-down to the left of the record count, also in the bottom-right corner, and make a selection.

Search and filtering options - A Search field is available on the action bar along with a corresponding Filter by drop-down list.  To search the contents of the index (including those records not currently displayed on the page), enter a value in the Search field.  The index is automatically updated as you type.  To further narrow your search, use the Filter by selection to indicate whether the search should look at data in "All Columns" (the default) or a specific column.  (Please note that the Search only looks at the content directly visible on the index.  As a result, if any text is cut off in the display the search will only find results that match the portion you can currently see.)

    1. At this time complete one or more of the following tasks:

   Add a new waiting list record - To do so, click the add new icon from the action bar above the waiting lists table.  A new data entry page is displayed.  Configure the fields and options on this page as necessary, and then click Save.  The waiting list record is saved, and a confirmation page is displayed.

   Update an existing waiting list record - To do so, click the record to be updated, or click the radio button to the left of that record and then click the edit icon from the action bar above the waiting list records table.  The data entry page is displayed.  Make changes to the information on this page as needed, and then click Save.  The waiting list record is saved, and a confirmation page is displayed.

  NOTE: Placing an end date on a waiting list record during the update process requires the "Waiting Lists - Delete/Remove Client data entry/access" permission.  Permissions are assigned using the Permissions Maintenance feature.  If you do not have access to that feature and need this permission, please contact your supervisor or your local Help Desk for assistance.

   View or print an existing waiting list record - To do so, click the radio button to the left the record to be viewed/printed, and then click the view icon from the action bar above the waiting list records table.  A read-only version of the record is displayed and can be printed as needed using your browser's print option.

   Delete an existing waiting list record - To do so, click the radio button to the left of the record to be deleted, and then click the delete icon from the action bar above the waiting list records table.  A confirmation message is displayed.  Click OK to proceed with the deletion.  The waiting list record is deleted, the client is removed from that list, and the updated index is displayed.

  TIP: To place an end date on a waiting list record rather than deleting it entirely, follow the process for updating an existing record and enter an End Date.

  NOTE: Deleting or placing an end date on a waiting list record requires the "Waiting Lists - Delete/Remove Client data entry/access" permission.  Permissions are assigned using the Permissions Maintenance feature.  If you do not have access to that feature and need this permission, please contact your supervisor or your local Help Desk for assistance.

The process of working with existing waiting list records is now complete.
