Viewing the System Performance Measures Report

To view the read-only System Performance Measures Report in AWARDS, complete the following steps:

    1. From the AWARDS Home screen, click Administration from the left-hand menu, and then click Fiscal.  The Fiscal fly-out menu is displayed.
    2. Click System Performance Measures Report.  The HMIS System Performance Measures page is displayed.

IMPORTANT! As noted under Required Permissions for this feature, the System Performance Measures Report is only accessible to users in the "CoC Executive Officer," "Executive Officer," and "Local CoC Admin" user groups.  

    1. Click the CoC or Project drop-down arrow and select the HMIS Continuum of Care, project, or custom grouping for which the report is to be viewed.

  NOTE: The report will look at data from all of the HMIS projects associated with the CoC selected here.  (An HMIS project is any project where Use HMIS Data Elements and Continuum Project are both set to "Yes" under Add/Edit Entire Program.)  In the event that projects are assigned to multiple CoCs, the report relies on the Client Location option at Intake/Admission to determine which clients are associated with the CoC for which the report has been run.

  NOTE: For "CoC Executive Officers" the Continuum of Care drop-down list is comprised of all Continuums of Care (CoCs) in your AWARDS database.  For "Local CoC Admin" users the list is limited to CoCs associated with their user group settings. 

  TIP: Measures 1 and 2 ore only applicable when a CoC is selected during this step; otherwise they do not display in the report content.

    1. By default the report's Date Range is October 1st of the previous year, through September 30th of the current year.  If necessary, make changes to this default date range using mm/dd/yyyy format, or by selecting the correct dates using the available date picker icons.  Keep in mind that the maximum date range is 12 months.

  TIP: The report's From date cannot be before 10/1/2014.

    1. If necessary, click the Show Individual Detail? checkbox to include a table of individual client-level detail at the bottom of the report page.

  TIP: When individual detail is included, each client for whom data is included in the report is listed on a separate row in the detail table, and each metric from the report is shown in a separate column. Inclusion of these client details can be particularly useful if it's necessary to troubleshoot report content; however, keep in mind that not every client listed there is counted for every report metric.     1. The Send in AWARDS Message checkbox is selected by default and cannot be un-checked.  As a result, you need not wait for the report to generate, and can navigate away from the System Performance Measures Report feature after finishing the configuration process.  Once the report is ready for viewing, it is sent to you in the body of a message accessed via your Messages module inbox.  

  NOTE: The report will remain in your messages for one month, after which time it will be deleted. (The exact date of deletion will be displayed in red at the top of the report message for your reference.) If you know you will need the report content after that time, be sure to download the Excel file (Excel File.zip) or HTML content (Report Content.html) attached to the report message. If you don't download one of these attachments before the message is deleted, you will need to manually re-generate the report if you need access to it in the future. 

    1. Click CONTINUE.  The report is displayed on the System Performance Measures Report page.  The content is broken into sections for each of the seven metrics being evaluated.

  TIP: To export the contents of the report to Microsoft Excel for further review and analysis, click Excel Link at the bottom of the report content.  A separate Individual Details Excel Link can be found at the very bottom of the page if the individual detail was checked off in step 5

The process of viewing a System Performance Measures Report is now complete.
