Viewing an Aged Receivables Report

The Aged Receivables Report feature in the BIllingBuilder's Reports component is used to view read-only current aged receivables reports.  (In this context, "current" receivables are those that exist at the time the report is run (invoice has a balance).)  To do so, complete the following steps:

    1. From the AWARDS Home screen, click Administration from the left-hand menu, and then click Fiscal.  The Fiscal fly-out menu is displayed.
    2. Click BillingBuilder.  The BillingBuilder Menu page is displayed.

    1. Click Aged Receivables Report.  The Aged A/R Report page is displayed.

    1. To view aged receivables by fiscal period (the fiscal period in which invoices, payments, and adjustments have been posted), click the Through Fiscal Period radio button, and then from the corresponding drop-down list select the appropriate fiscal period.  Otherwise, click the Current Balance Using Invoice Dates Only radio button to view aged receivables by invoice date.  (The fiscal period drop-down option is not taken into consideration when using the Current Balance selection.)
    2. In the Aging (A/O) Date field, type the "as of" date (in mm/dd/yyyy format) from which report information should be included.  The aging (A/O) date entered uses the posting date of the invoices (the date invoices were posted to A/R) to calculate aging.  The default value is today's date.
    3. Click the Through Fiscal Period drop-down arrow and select the start date of the fiscal period through which aged receivables information is to be included in the report.
    4. Click the Aging Periods drop-down arrow and select the aging periods for which the report is to be viewed.  Available options are:  "30 days/60 days/over 90 days" and "1 year/2 years/over 3 years."
    5. Click the Billing Group checkbox for each billing group to be included in the report.
    6. Click the Program drop-down arrow and select the program or program type for which the report is to be viewed.

  TIP: The billing group and program selections must match up.

    1. If necessary, click the Detailed Report checkbox to include detailed information in the report.  If this option is not selected, the report includes summary information only.
    2. Click CONTINUE.  The report is displayed on the Detailed or Summary A/R Aged Report page.

The contents of this read-only report include name and aged periods, current month or year, and total due amount information.  If the "Detailed Report" option was selected step 9, each record in this report also shows the invoice and invoice batch numbers in the "Name" column of the report, to the right of the client's name.  The invoice and batch numbers are shown as clickable links, and if clicked the corresponding batch details are opened in a new window/tab.

  NOTE: Balances are always included for the aging date, as well as for the first of the year the report is being run for. 

The process of viewing an aged receivables report is now complete.
