Re-Processing Applicant Intake

In some cases it may be necessary to re-process intake for an applicant; for example, if an intake date was entered incorrectly and must be changed.  The steps involved in re-processing applicant intake are much the same as those for the initial intake.

TIP:  Intake cannot be re-processed if:
  Admission has been processed for the applicant.
  The status of the applicant's referral is resolved; for example, "rejected."
  The intake is for a day program.

To re-process applicant intake, complete the following steps:

  1. From the AWARDS Opening Menu page, click Intake / Admission.  The Intake Records Search page is displayed.

  1. Click the Program drop-down arrow and select the program associated with the applicant for whom intake is to be re-processed.
  2. Click the Database drop-down arrow and select "Data Entry."
  3. Intake is re-processed from within the applicant's referral record.  Narrow referral selection by entering either a name or a screening date range on this page.

Available options:

First Name, Last Name, Alias

Type the applicant's name, initials, and/or alias in these fields.  Only those referrals for the selected program and name, initials, or alias will be available for re-processing.

Date Range

Make changes to the default date range as necessary.  Only those referrals for the selected program that have screening dates within this range will be available for re-processing.

TIP:  If a name, initials, or alias are entered, the Date Range option will not be used in the records search, regardless of whether the default date range has been adjusted.

  1. Click SEARCH/CREATE.  The Referral Search Results page is displayed.

This page contains a list of those existing referrals matching the search criteria entered on the Intake Records Search page.

  1. From the "Applicant" column click the name of the applicant for whom intake is to be re-processed.  The Referral Information Form page is displayed.
  2. Click Re-Process Intake.  The Re-Process Intake page is displayed.

TIP:  The information on this page defaults to that entered during the original intake processing.

  1. Make changes to the intake information as necessary.

  1. Click UPDATE.  The applicant's intake is re-processed, and his or her face sheet is displayed on the Consumer Face Sheet page.
  2. At this time, the user may:

TIP:  Once intake has been processed for an applicant, he or she is listed as "*pending" in consumer drop-down selection lists throughout AWARDS.
