Custom Employee Groupings

The Calendar-related functionality detailed here refers to the "old" version of the Calendar, available prior to September 2020.  Custom employee groupings are not yet available for use with the new/revamped Calendar, but we anticipate that change will be deployed with our next round of enhancements.

The Custom Employee Groupings feature within the User Settings module enables you to use the basic AWARDS ReportBuilder interface to generate a custom list of staff that can be saved.  Once saved, custom groupings are available for selection in the settings portion of the Calendar.   They are a great way for you to check on the availability for a set group of staff without having to individually select those staff members each time.

Required Permissions

The Custom Employee Groupings feature is available to all AWARDS users with employee logins (with the exception of those whose access is limited by the Restrict to Aggregate Data View permission) and to all AWARDS users with client logins.

While there are no permission requirements for accessing the Custom Employee Groupings feature, by default most users can only use it to save custom groupings for themselves.  If you need to create employee groupings for use by ALL staff, you must have the following permission:

Create Employee Groupings for All Staff (only required if you need to create employee groupings for use by ALL staff) *

An exception to this permission requirement is made for users in several user groups; specifically, if you are in one of the following user groups the authority to create custom groupings for all staff is available automatically and you do not need the "Create Employee Groupings for All Staff" permission:

  In a single agency AWARDS database:   System Administrator, Executive Officer

  In a multi-agency/HMIS AWARDS database:  System Administrator, CoC Executive Officer, CoC Executive Support Staff, Agency Executive Officer

  NOTE: Permissions are assigned using the Permissions Maintenance feature.  If you do not have access to that feature and need a permission listed here, please contact your supervisor or your local Help Desk for assistance.
