Below is an alphabetical list of the fields and options available during ride requests data entry. To jump directly to the information for a specific field or option, press <Ctrl+F> to access your browser's search field and enter the name of the field/option in question.
The Check Current Runs link can be used to access the Ride Sheets feature so that current transportation run schedules can be reviewed prior to entering or updating the request.
In the Driver's Instructions Pickup Run, Intermediate Stopover, and Return Run fields, type or make changes to any instructions for the driver regarding the pickup or destination portions of this ride request.
If Ride Schedule = Other Period, Repeat Every ____ Days
If "Other Period" has been selected as the Ride Schedule option, type the number of days between rides in the If Ride Schedule = Other Period, Repeat Every ___ Days field.
If "Weekly" has been selected as the Ride Schedule option, click the checkbox next to the day of the week for which the ride is being requested.
If this is a three leg ride request, enter or update the intermediate stopover run information by configuring the following fields and options as explained here:
NOTE: Only users with the "Transportation Supervisor" permission can enter and update the Run #, Pickup Time, Hub Xfer?, Hub Departure Time, Outbound Run #, and Program Type information mentioned here.
Run # - In this field, type or make changes to the run number for the intermediate portion of this ride.
Hub Xfer? - If this ride will include a hub transfer, click this checkbox.
Hub Departure Time - If this ride will include a hub transfer, type or make changes to the hub departure time in this field.
Outbound Run # - If this ride will include a hub transfer, type or make changes to the outbound run number in this field.
Intermediate Stop - Click this drop-down arrow and select the destination of the rider for this request. If "Other Location" is selected, configure the (If Other Location) option.
(If Other Location) - If "Other Location" was selected as the intermediate stop, In this field, type or make changes to the stop address.
Program Type - Click this drop-down arrow and select the program type of the intermediate stop location, if applicable.
2nd Leg Appointment Time - Click these drop-down arrows and select the rider's appointment time; in other words, the time by which he or she need to reach the destination location.
2nd Leg Return Pickup Time - Click these drop-down arrows and select the time at which the rider should be picked up from the destination location.
Pickup Run
Enter or update the pickup run information by configuring the following fields and options as explained here:
NOTE: Only users with the "Transportation Supervisor" permission can enter and update the Pickup Run #, Pickup Time, Hub Xfer?, Hub Departure Time, Outbound Run #, and Program Type information mentioned here.
Pickup Run # - In this field, type or make changes to the run number for the pickup portion of this ride.
Pickup Time - Click these drop-down arrows and select the initial pickup time for this ride.
Hub Xfer? - If this ride will include a hub transfer, click this checkbox.
Hub Departure Time - If this ride will include a hub transfer, type or make changes to the hub departure time in this field.
Outbound Run # - If this ride will include a hub transfer, type or make changes to the outbound run number in this field.
Pickup From - In this field, type or make changes to the location from which the rider should be picked up. This field defaults to the address of the rider's residence. If the rider should not be picked up from his or her place of residence, configure the (If Not Residence of Rider) option.
(If Not Residence of Rider) - If the rider should not be picked up from his or her place of residence, click this drop-down arrow and select the pickup location for this ride.
Program Type - Click this drop-down arrow and select the program type of the pickup location, if applicable.
Order Expires - In this field, type or make changes to the date on which this ride request will end/expire.
First Ride Date - In this field, type or make changes to the first ride date for this request (in mm/dd/yy format).
Appointment Time - Click these drop-down arrows and select the rider's appointment time; in other words, the time by which he or she need to reach the destination location.
Return Pickup Time - Click these drop-down arrows and select the time at which the rider should be picked up from the destination location.
Destination - Click this drop-down arrow and select the destination of the rider for this request. If "Other Location" is selected, configure the (If Other Location) option.
(If Other Location) - If "Other Location" was selected as the ride destination, In this field, type or make changes to the destination address.
Program Type - Click this drop-down arrow and select the program type of the destination location, if applicable.
Click the Ride Schedule drop-down arrow and select the frequency of the ride being requested. Available options are:
Daily Mon-Fri
Weekly
TIP: If this option is selected, the "If Weekly" option must also be configured.
Monthly
One Time
Daily 7-Day
Other Period
TIP: If this option is selected, the "If Ride Schedule = Other Period, Repeat Every ___ Days" option must also be configured.
The default value is "Daily Mon-Fri."
Click the Request Method drop-down arrow and select the method by which this request was submitted. Available options are "AWARDS," "Fax," "Phone," and "Mail."
In the Requestor Note field, type or make changes to any notes you, as the requestor, wish to enter regarding this request.
If this is a round trip or three leg trip, enter or update the return run information by configuring the following fields and options as explained here:
NOTE: Only users with the "Transportation Supervisor" permission can enter and update the Run #, Pickup Time, Hub Xfer?, Hub Departure Time, and Outbound Run # information mentioned here.
Run # - In this field, type or make changes to the run number for the return portion of this ride.
Hub Xfer? - If this ride will include a hub transfer, click this checkbox.
Hub Departure Time - If this ride will include a hub transfer, type or make changes to the hub departure time in this field.
Outbound Run # - If this ride will include a hub transfer, type or make changes to the outbound run number in this field.
Return To (If different from Pickup Point) - In this field, type or make changes to the return to location if it is not the same as the original pickup point.
The Show Rides In Last 7 Days link can be used to view a list of rides scheduled for the selected consumer in the last 7 days.
Click the Status drop-down arrow and select the status of this ride request. Available options are:
NOTE: Only users with the "Transportation Supervisor" permission can change the status of a ride. Other users can only use this option to delete a request.
Pending
Approved
Not Approved
DELETE REQUEST - This option is used when deleting the existing ride request, and is only available once a ride request has been saved for the first time. For more information see Entering / Maintaining Ride Requests.
In the Trans Dept Note field, type or make changes to any notes regarding this ride request.
Click the Trip Type drop-down arrow and select the type of trip for this request. Available options are "Round Trip," "One Way," and "Three Leg." The default value is "Round Trip."
