Generating the HMIS Longitudinal System Analysis (LSA)

To generate the LSA export file from AWARDS, complete the following steps from the AWARDS Home screen:

    1. Click Administration from the left-hand menu, and then click Fiscal.  The Fiscal fly-out menu is displayed.
    2. Click HMIS Longitudinal System Analysis (LSA) Report.  The HMIS Longitudinal System Analysis page is displayed.

    1. Click the CoC drop-down arrow and select the CoC for which the export file is to be generated.
    2. The projects list beneath the CoC selection is automatically refreshed after a CoC is selected.  The default selection from that list is All Projects within the CoC.  Change that selection to a specific project if needed.
    3. By default the report's Date Range is 10/1/2019 through 9/30/2020, which is the later of the two fiscal years HUD expects you to use for submissions being completed in 2020.  The report should be run for FY2019 which is 10/1/2018 through 9/30/2019 and then you will need to run the report again, for the default dates of 10/1/2019 through 9/30/2020.
    4. Click the Generate Detailed Report Tables checkbox to generate two sets of troubleshooting tables in addition to the LSAReport_CSV.zop file that will be submitted to HUD.  This is not mandatory, but may be useful by providing you with:

  A set of temporary tables (individual detail calculation tables) that correspond to the clients included in LSAExit.csv, LSAHousehold.csv, LSAPerson.csv, and LSACalculated.csv

  CSV source files comprised of a set of csv export files showing you the source data used in the report

  NOTE: These extra tables are not de-identified and show client level details.  As a result, this option is NOT available to members of the Local CoC Admin group.

    1. The Send in AWARDS Messages checkbox is selected by default and cannot be un-checked.  As a result, you need not wait for the export file to generate, and can navigate away from the LSA feature after finishing the configuration process.  Once the export is ready, it is sent to you in the body of a message accessed via your Messages module inbox. 

  NOTE: The export file will remain in your messages for one month, after which time it will be deleted. (The exact date of deletion will be displayed in red at the top of the report message for your reference.)  If you know you will need the export file after that time, be sure to download the zip file attached to the message. If you don't download that attachment before the message is deleted, you will need to manually re-generate the export file if you need access to it in the future. 

    1. Click CONTINUE.  The export file is generated and upon completion a CSV Export File link is displayed on the page. 

  TIP: Because the Send in AWARDS Messages option is automatically used by this report, a notice is first displayed on the page to let you know that export file generation is in process and that the file will be sent to your Messages module upon completion. You can then navigate away from the page, or wait for the file generation to complete and display a link to it on the AWARDS page. Please keep in mind that because the LSA is so data-intensive, it may take many hours for it to run, so waiting for the link to be displayed directly on your AWARDS screen may not be practical and you may prefer to use the message link instead.

    1. Click the link on the AWARDS page, or in the HMIS Longitudinal System Analysis message in your AWARDS Inbox, to download the LSAReport_CSV.zip file.
    2. Upload the export file to the HUD Exchange 2.0 website, https://hudhdx2.info/.

The process of generating the  HMIS Longitudinal System Analysis (LSA) is now complete.
